The great news is, it’s usually easy to increase your mobile phone ring time. And you can do it in a few seconds. Unfortunately though, the different Phone networks all have different procedures. Note: The following is applicable to Australian mobile phones…

How to Change Your Telstra Mobile Phone Ring Time

To increase your Telstra mobile phone ring time, pull out your mobile phone and dial the code **61*101**30# then press ‘call’.

If all is well, your phone will then almost instantly show a message indicating that the change has been successfully granted. The code will have successfully sent a signal to your mobile phone network to increase your ring time to 30 seconds.

A translation of this code is below:

**61: ‘Hey when some calls me and I don’t answer…’

*101: ‘…please divert the call to voicemail…’

**30#: ‘…after letting it ring for 30 seconds.’

This assumes that your voicemail has been activated. It’s recommended that you do not extend the time longer than 30 seconds as longer times may not be approved. If you are experiencing difficulties, contact Telstra by phone.

How to Change Your Optus Mobile Phone Ring Time

To increase your Optus mobile phone ring time, pull out your mobile phone and dial the code **61*321**30# then press call.

After dialing this code you should receive confirmation from the Optus network that your code has been accepted. As per the Telstra example above, a simple translation of this code is:

**61: ‘When someone is dialing my number…’

*321: ‘…please engage voicemail…’

**30#: ‘…after my mobile phone has rung for 30 seconds.’

This assumes that your voicemail has been activated. Again, it’s recommended that you do not extend the time longer than 30 seconds as longer times may not be approved. If you are experiencing difficulties, contact Opus by phone.

How to Change Your Virgin Mobile Phone Ring Time

To increase the ring time on your Virgin Mobile Phone, dial the following code on your mobile phone: **61*212**30# then press call.

Upon dialing this number you will should pretty much instantly receive confirmation from the Virgin network indicating that your code has been accepted. A simple explanation of this code is:

**61: ‘When someone is dials my mobile phone number…’

*212: ‘…please transfer it to my voicemail…’

**30#: ‘…after my phone rings for 30 seconds.’

This assumes that your voicemail has been activated. It’s recommended that you don’t extend your phone ring time by more than 30 seconds as the network may reject your request. If you are experiencing difficulties, I recommend calling Virgin via phone.

How to Change Your Vodaphone Mobile Phone Ring Time

To increase your Vodaphone mobile phone ring time, pull out your mobile phone and dial the code **61*121**25# then press ‘call’.

If all is goes smoothly, your phone will then almost instantly show a message indicating that the change has been successfully granted. When translated, the above code means:

**61: ‘When some calls me and I don’t answer…’

*121: ‘…please divert the call to voicemail…’

**25#: ‘…after letting it ring for 25 seconds.’

This assumes that your voicemail has been activated. It’s recommended that you do not extend the time longer than 25 seconds as longer times may not be approved. If you are experiencing difficulties, you can also login to the Vodaphone network and alter you settings. Alternatively you can contact Vodaphone by phone.

What’s the Downside of Increasing Your Ring Time?

As with most things, it’s important to understand that it’s not all strawberries and cream. Be aware that there can be negative effects of tinkering with your ring time. These include:

  •  It takes longer for people to leave a message. If you know you are going to be away from your phone and therefore have no intention of answering it, people are going to be forced to hang on for a longer period of time. This could be annoying for them.
  • You could annoy people for longer. If you increase your phone ring time, it will ring for longer. This has the potential of being a longer niggling disturbance to others, particularly in an office environment. Instead of having to endure your phone tone for 15 seconds, it could ring for double the time.

Don’t Use a Hotmail, Gmail or Yahoo Email Address For Your Business

Seriously, You Still Use @hotmail @yahoo or @gmail?

If you are a small business owner that communicates with customers through a @hotmail, @yahoo or @gmail email address, I am going to throw a hot jam donut at you. And angle it so the hot jam bit hits your skin… then hits the ground so you can’t even eat the donut. What are you doing? It’s at least 2011 (Just trying to future proof this article).

People want confidence that the businesses they are dealing with knows its stuff and can come through with the goods. Shoppers don’t want some shonky operator who might go belly up next Tuesday. Representing your business through a free email account such as @hotmail.com screams backyard operator. The kind that operates on a shoe string budget, perilously close to foreclosing.

Sure you could be a backyard operator operating on a shoe string budget, but you want to give the perception that you operate a well oiled machine that is trustworthy and kicks butt.

ok, ok. If you don’t have a website and you mainly send email correspondence to other businesses (that don’t buy from you) I slightly forgive you for holding onto your free address.

Getting a Professional Email Address is Easy

If you have a website, take advantage of your website hosts capability. You’ve paid for it. These days, setting up an email account to be @yourdomain.com only takes a few clicks. Your website host should either be able to set this up for you, or at least flick you some instructions to lead you on your merry way.

What’s Your Email Username?

A username provides customers context. Sure, if you’ve got a small business, I recommend simply having your first name, as it’s more friendly – i.e David@MySite.com. As you add other users, follow the same protocol, so that consistency can pay off.

But if you operate a larger business, or have multiple users look after the same inbox, it may be more appropriate to use a customer service identifier such as

  • Support@MySite.com
  • Sales@MySite.com
  • Service@MySite.com
  • Info@MySite.com

Just ensure the username of the email address(es) you use are relevant to your customers and reflective of the activity they operate in. Also, for sensitive topics, don’t go ahead and create an inbox named either Complaints@Mysite.com or Resolutions@MySite.com as this either gives the impression you get a lot of complaints, or confirms to customers that they actually do have a complaint.

Task Completion: Fast, Cheap or Good?

About a year ago I was chatting away with a fellow business owner about small business mistakes and wisdom, when he offered some wisdom that was passed down to him from another successful business owner. This advice has always stayed with me and provided me with direction when I was hesitating about completing a task. The principle was:

Success in any task can be gauged across three measures:

  1. Fast: How quickly the task can be completed
  2. Cheap: How inexpensively the task is to complete
  3. Good: How ‘on specification’, slick, robust and error free the completed task can be

Of the three measures, you will only be able to achieve success in two. Thankfully, you can choose any combination of two measures, you just can’t achieve success across all three.

Confused? Or did you just open the article and scroll straight to the pretty picture? Perhaps you’re even humming a famous Meat Loaf song. Well, whatever thoughts are floating around, let’s take a more in depth examination of the cheap-fast-or-good combinations. There’s only three, so let’s get in to the dangers and when to use each:

Do you want your task completed as cheaply and quickly as possible? It can be done, but it will be at the expense of being produced as slick and robust as possible. This means that your task could have errors, be incompatible with other work or be delivered inconsistently with your brand.

Examples of tasks that are best suited to ‘cheap and fast’ solutions include:

  • Tasks that are autonomous, repetitive and require minimal supervision

Yeah ok, the title of this section isn’t great English, but you know what I mean. Everyone wants good work done as quickly as possible. It’s only natural. But good work is going to cost you because you will likely need to engage someone with a higher level of skill to get the job finished in a flash. This is the ideal task benefit combination. By taking the time to plan out what is exactly needed and when, you can save yourself a fortune. When planning, understand that the task is going to take longer than expected and build this time buffer into your task plan. The ultimate end result is that the work is delivered inexpensively, on specification and within your allotted time frame.

  • When you’ve taken the time to draft the complete specifications needed

  • When you can provide ongoing supervision if needed

So next time you’re assessing your tasks and either want to get them done quickly, cheap or properly take a moment about which two areas you will focus on.

It’s a versatile file format that takes an imprint of almost anything on a computer screen, and captures it in a visual file that’s compatible across virtually all operating systems. Why Mark up a PDF?

An additional benefit of PDF’s is security. You cannot change the content of a PDF without the necessary software or permissions. This is a double edged sword, because sometimes you need to communicate changes on a PDF to a web designer, graphic designer or legal draftsman. Typically comments would be scrawled on an accompanying email, or via a telephone call.. Unfortunately, this opens the gate to ambiguity. Writing comments directly on the supplied PDF is the best method of relaying changes.

Making direct markups on PDFs is a big bonus over other methods. Infact I often PDF pieces that require feedback, simply to increase the flexibility I have when making comments. Making markups to PDFs rock because:

  • It’s quicker: No need to qualify statements with ‘paragraph 1, underneath the second heading… please change the second word to…’
  • It’s less ambiguous: People will know which section of the PDF you are talking about and what exactly needs to be changed
  • It’s more flexible: You can add shapes, cross out writing and even pictures

Evernote: Top Benefits and Reasons to Download

As discussed in my Evernote review, Evernote is a staple part of my routine and one of the top 5 applications I use every day. It makes capturing ideas easy, and finding previously filed information a sinch. Below are the top Evernote benefits and why I recommend you download it and jump on board the list of satisfied users.

  1. It’s free: Yup, Evernote is a free application. So there’s no risk. If you don’t like it you can always uninstall it. If you fall in love with Evernote you can upgrade to a premium subscription for about $5. This gives you access to more functionality.
    Why is this cool: Free is a good price, because it’s awfully inexpensive. And don’t go thinking that the free version of Evernote is a good for nothing diluted version of the premium version. It packs a lot of punch and can still pretty much do everything you want it to do. But if you do go chipping in for the premium version, you’ll be rewarded with increased capacity, compatibility and utility.
  2. You can sync Evernote: You can sync Evernote between multiple computers, smart phones and tablets. This means that all your devices can store and retrieve information from your same central account. This makes Evernote a powerful information collection application whenever and wherever you go.
    Why is this cool? Evernote does not tie you to one piece of hardware but rather gives you the freedom to choose where you want to use it.
  3. You can attach files: In addition to just writing notes, you can copy and paste files directly into Evernote. And if these are pictures Evernote will automatically display them in the note. If it’s a PDF, Evernote will display the first page and provide a mini navigation bar to allow you to scroll through the PDF while you’re in the note. Buy the premium version and you can also search PDF’s. Now that’s user friendly.
    Why is this cool? Adding attachments provides another dimension to your notes. It allows you to combine further thoughts and ideas and keep them in the same place, or circulate them with others via email.
  4. You can categorise: This means that you can store all your notes in category (called ‘notebooks’). You can also create and folders within these folders. This is perfect if you’re a neat freak. Your folder architecture is completely visible in the Evernote interface at all times. And the folder tree is also collapsible to give more viewing space.
    Why is this cool? It allows you to stay more organised. And view all your similar notes on one screen.
  5. You can save web pages or parts of web pages: This is one of my favourite features. While in your internet browser, Evernote allows you to copy parts of a webpage or the whole webpage and store a full copy of this webpage as a note. All pictures and links are maintained. Formatting is usually 90-95% perfect.
    Why is this cool? If you come across information gems online, you can save the full webpage and instantly transfer it to Evernote. Evernote will prompt you to categorise these webpage clippings, where upon you can opt to store them in relevant folders such as ‘business advice’, ‘web design’ or graphic design’. You will then be able to easily refer to this information as it was intended, rather than as a diluted summary. This means any diagrams and links to further resources will be active. Sweet.
  6. Email Capability: You can email notes directly to Evernote. You can also set incoming notes to be filed into categories by adding hashtags in the subject line. You can also email notes from Evernote under your name, and have future replies routed directly to your normal email client. People receiving emails from your Evernote account will have the phrase ‘Sent from Evernote’ appended to the top of your message.
    Why is this cool? You can effortlessly email people notes or even save webpages and forward the whole page to someone’s inbox to look at.
  7. You can work online and offline: This is a big plus. I’m not always online. Actually I probably do my best work when I’m away from the distractions of the online World. Evernote allows you to use the program offline to make changes to all your notes, then have these changes syncronised the moment you connect back to the Internet. Evernote also has a ‘conflicting notes’ folder which alerts you to notes that have been altered independently of one another. You can browse the conflicts and resolve them.
    Why is this cool? It means that you’re not a slave to your internet connection. You can truly use Evernote wherever the wind takes you, or when your connection drops out.
  8. You can merge notes: Let’s say you’ve collected a mass of notes on the same topic. Evernote allows you to select all the notes and merge them together to one note.
    Why is this cool? This further enhances your organisation by keeping everything within easy reach. It allows for easy printing and it also means you can easily email one note containing all the information you’ve put together.
  9. You can embrace snapshots and even draw: Evernote has the built in capability to take webcam snapshots from your computer (or photos from your camera). This allows you to capture visual information which you can use on other projects. In addition, you can create an ink note – which is effectively a blank digital canvas with basic drawing functionality. Here you can sketch out any ideas or diagrams and save them like a normal note.
    Why is this cool? Sometimes an idea is more easily captured or complemented with an image or sketch. You can even take a picture of your own sketches or handwriting and have it uploaded to your notes.
  10. You can Share Evernote Folders: Now this is powerful stuff. Evernote allows you to share some or all of your Evernote folders (named ‘notebooks’) with other Evernote users. Premium subscribers are allowed to alter notes across other people’s Evernote accounts (if given permission of course).
    Why is this cool? You can share information with others easily and have the information update in (practically) real time. This shared collaboration aspect is delicious, allowing you to involve and pass on your latest notes to others who may benefit.
  11. Access to Plugins: Evernote encourages freelance developers to create plugins that can be added to Evernote. Some of these plugins are free to download, others have a cost involved. You can browse Evernote plugins in the Evernote Trunk.
    Why is this cool? Evernote is already a wonderfully flexible beast. Plugins add another dimension, allowing you to further customise your usage to your specific needs.

I know it’s only June, but I’m going to award Evernote my favourite application of 2011. When I power up my PC, Evernote is powered up within the first minute. It’s an online/offline powerhouse that keeps you organised and allows you to be as messy as you like, yet still be more organised and consistent than people without Evernote. Genius I tell you. And you can use Evernote for free. Here’s my Evernote review:

Evernote Allows You to Capture and Search Your Notes Easily

What is Evernote?

Evernote is a free application that you can use to store notes. Big deal right? Well the power of Evernote is in its dynamic ability to store a whole range of your notes, such as text, scanned papers, images and sound bites AND have them easily retrievable by you in only a few seconds. It’s best to think of Evernote as your personal Google for your thoughts.

Evernote allows you to capture ideas on the fly, before you forget them.

Take the following example…

“What was that thinggi I had to do after I polished my car?”
Let’s just say that 3 months ago you found a website on how to polish your car. However you can’t remember what the site was, or any other details. Normally, you’d have to try and retrace your steps on Google to try and re-stumble over the information you wanted. Or if you saved the information somewhere on your computer, you’d have to try and remember, then locate the polishing information.

Whereas if you had Evernote, you could have simply saved the information directly into Evernote from your browser, with the click of a button. Now you’d just need to enter the phrase ‘polish’ or ‘car’, and Evernote would instantly show you all your notes that had those words in their text. Too easy.

Searching Evernote

Evernote is built on its powerful note search feature. This feature alone makes Evernote a valuable addition to your applications. No more wasting time trying to remember where you filed something. Just simply enter a keyword that you think is either in the title, or in your note and voila! All the possible notes are presented. You search is further tailored in realtime as you add more criteria. This powerful text based searching system is further enhanced by allowing you to add ‘tags’ to each note, both on the fly, or anytime later.

Using Evernote

After downloading Evernote, you can:

  • Work to create text, webcam snapshots or drawings directly in Evernote
  • Email anything to Evernote (including attachments and photos)
  • Email from Evernote
  • Create ‘to do’ lists across multiple notes and navigate to them easily
  • ‘Clip’ interesting content from the internet and send it directly to Evernote

Evernote Synchronises

But it doesn’t stop there. You can use and synchronise Evernote on any of your computers, as well as your smartphones. This makes Evernote a powerful, dynamic, portable, centralised repository for all your notes (Sorry for all the adjectives there, I got a bit excited).

This means that you are able to enter and access all your updated notes on any of your computers or mobile devices. Even at the same time. You can even share your Evernote folders with other users to either read or edit (to share-edit you must be a premium member).

FTP Manager: Filezilla and FireFTP

The files that store the content of your website are kept on your website hosts’ servers. These servers hum along and help deliver content to users that visit your site. A typical conversation goes like this:

User: *Slurping coffee* [clicks on website link]

Host Server: Hmmm… Ok, here [sends content to the users computer]

This all happens instantly, delivering a joyous experience for your website users. This is great. It’s how the Internet was suppose to run.

Access Your FTP With Filezilla and FireFTP

Most of the time you don’t need to ‘pop the hood’ of your website and directly view the files. Most tasks can be performed by logging on as an administrator to the backend of your website.

However, there are some instances where you do need to pop the hood of your website and get down and dirty with your core website files. This is usually the case if you want to upload a new header, favicon or perform a comprehensive backup. If you want to pop the hood, you need a program that allows you to view your website files.

What’s FTP?

FTP stands for File Transfer Protocol. Which essentially means – moving files. To view your core website files you need an FTP manager. By installing an FTP manager and entering your cPanel username and password, you are able to navigate all the files in your website and move, add or delete files where necessary.

Why Do I Need an FTP Manager?

As indicated earlier, most tasks can be performed without an FTP manager, however an FTP manager can make it easier to perform the following:

  • Update a website header
  • Update a website favicon
  • Backup the files of a website (but not the databases)
  • Delete files from a website
  • Upload a batch of files
  • Upload a large file

What’s a Good FTP Manager?

I recommend using Filezilla and FireFTP. Filezilla is my first choice. It’s a stand alone application that has all the bells and whistles you need. You can drag and drop whole folders easily and open up multiple windows at the same time. Highly recommended.

My second choice is FireFTP. This is a plugin that is compatible with Firefox browsers. This is a simpler FTP program that’s suited towards smaller tasks such as adding or deleting a small number of files. You can’t drag and drop whole folders easily, which is a significant limitation.

Both FTP managers are free to download and use.

If you’ve got a customer facing business, chances are you’ve got a physical location. As noted in 15 mistakes that cost your small business, business – customers view your store and your brand as one in the same. A dilapidated store screams a dilapidated business. A few paintings can do wonders to embed the essence of your business, create an area of interest and make your location a more enjoyable place for your workers.

The only thing is, artwork’s expensive right? It can cost hundreds of dollars per piece? Well yes, artwork can cost big money. And since money is usually tight, this money can be hard to justify. Afterall there’s bills to pay and customers to pursue.

I was met with the same dilemma a few years ago. Two afternoons and $250 later I had seven pieces of original artwork that perfectly suited my space and the business. I was even flattered that someone offered to buy one (and no it wasn’t my sympathetic Mum).

As you can guess, I bought a few canvases and painted them myself. It was fun. And it didn’t take a bundle of creativity, so don’t use that as an excuse. All it took was a bit of planning, a few materials, an uninterrupted space and a some rockin’ music.

The Tools You’ll Need For Your Office Artwork

Head off to your local craft or hardware store and pickup the following items:

  • Canvases
  • Art brushes (1 x wide brush for backgrounds and 1 x small/medium brush for details)
  • Paints (red, yellow, blue, black and white)
  • Paint mixing tray
  • Empty ice cream container (fill it with water to clean the brushes)
  • Optional: Textured paint, masking tape or PVA glue

What You’ll Be Painting

Time for a reality check. You’re a small business owner, not a Rembrandt savant. So when it comes to creating your artwork, you need to play to your strengths. Your best option is to steer clear of complex detailed images and instead embrace producing abstract art. Now I’m not taking away the talent of artists that create abstract art, because some of it is actually quite good. I’m point out that it’s a lot easier for you to produce aesthetically pleasing abstract office art than other forms of painting.

Art can be intimidating. Especially if you’re admiring an art gallery next to an Englishman with a monocle.Fortunately there’s a way of soaking up inspiration from accomplished artists and applying it to your own work.

Simply Google ‘abstract art’, and click on the top left ‘images’ search tab. You’ll be met with hundreds of pages of abstract art examples. Take 20 minutes to scroll through the pages and save the designs that you think best capture your business and the environment you are striving for.

Once you’ve saved your top 20, reassess the designs and determine the parts of each abstract painting that resonate with you. The trick is to now take these designs as inspiration and create new draft designs, either on paper or by using a graphic design application. I also recommend you take a moment to view which colours work best together.

Do not copy the artwork designs, as these are protected by copyright. Just use them as inspiration. Don’t get tripped by this fine line – make a concerted effort to ensure your artwork is original.

Get Painting

Once you have your draft designs, hop to it. The hardest bit is starting. Just dip your brush in and start. Rest assured that any mistakes can be easily painted over. In general the more basic your design is, the more likely your painting will get good reviews.

If you’re feeling a bit adventurous you can also add another dimension to your artwork. Try squeezing some PVA artwork on your canvas before you print (cross hatching works well), using masking tape or adding textured paint.

Ever had to sit through a 7 minute Youtube video to get a 30 second snippet of information. It is insanely boring. Fortunately I don’t have to torture myself like this anymore. The inventors of the Chipmunks exploited this knowledge to great effect and created a whole show around it.

4 Hour Body Review Tim Ferriss

When I first heard about the book 4 Hour Body by Tim Ferriss, I thought it was just a body building book. And it was a bit of a turn off. Fortunately I was wrong. There were chapters in this book that were genuinely eye opening. After reading them I found myself discussing them at work with others. I even brought them up with my mum at one stage.

What’s This Book About?

This book is a gem that touches on almost all areas of the human body and tells you how to ‘hack’ maximum results for minimum input. The content interest level is incredible. I particularly liked the sections on

  • Genetic testing
  • Programming your body to only need 4 hours sleep a day
  • Becoming a swimming genius
  • Losing weight
  • How to spot sloppy ‘industry’ research – a pet peeve of mine that I see on an almost daily basis.

Plus Tim doesn’t just preach. He goes through the tests himself and shows the results of other people who took up the challenge. The images shown are in black and white. Sure it would be nice to have them in colour – but look at the price. Tim’s compiled all this great information and delivered it for under $20 in a hardcover. Yes a hardcover.

Physical Book Dimensions

4 Hour Body is 550 pages, bound in a hardcover (making it a mammoth 5cm thick). It’s a generous A5 size, and the text is about 14 font, which is nice and easy on the eyes. Thumbs up.

Why Should You Listen to Tim Ferriss?

Tim’s original book, the 4 Hour Work Week was a #1 New York Times best seller and is often quoted as a must read by small business owners. Although I subscribe to a lot of blogs, Tim’s blog is one of a handful that I read every post. Tim’s a lifestyle designer, which means he is self employed and engages in pursuits that he wants, on his terms at a time he wants. Apart from his books he doesn’t ‘sell stuff’. Tim takes pleasure in uncovering ways to do things better. I recommend you sign up to Tim Ferriss’ blog

What do I Rate the Book?

At the time of this review about 1,300 people have rated the 4 Hour Body on Amazon, with the average rating being 4.5/5 stars. Considering this book only came out about 3 months ago, that’s a significant positive response. The book does show you the steps you need to take in order to achieve the results and also warns you against common mistakes. As many of the actions require significant lifestyle changes that push you outside your comfort zone, I dare say that many readers will digest the information as a nice to know, rather than action it. Sure there were chapters that I enjoyed more than others, but overall it really was a great book.

Who’s the Book For?

Yes I know, this is a small business blog, what tenuous link does this book have with small business? In a business sense, not much. But in a mindset sense, it’s a perfect fit. As a small business owner you need to be looking for the best methods, the tricks and the traps to get the best outcome for minimal effort. The underlying psychology of this book is a great fit to the small business entrepreneur who must bush wack though their competitive environment. Plus it’s only $20. So much information for $20.
